JOB SUMMARY:


The Receptionist/People Operations (PO) & Accounting Assistant will perform administrative tasks and services to support effective and efficient operations of the organization’s people operations and accounting departments. This role is also to greet, assist, and provide direction and information to clients, visitors, and other guests of the organization.

DUTIES / RESPONSIBILITIES:


  • Greets clients, visitors, and guests; determines the purpose of each person’s visit and directs or escorts him or her to the appropriate location.
  • Answers, screens, and directs phone calls to staff; takes messages and schedules appointments.
  • Receives mail, documents, packages, and courier deliveries and delivers or distributes items.
  • Performs administrative and clerical support tasks.
  • Performs basic filing and recordkeeping for both PO and Accounting.
  • Maintains accurate and up-to-date human resource files, records, and documentation.
  • Answers frequently asked questions from applicants and employees related to standard policies, benefits, hiring processes, etc.; refers more complex questions to appropriate senior-level PO staff or management.
  • Maintains the integrity and confidentiality of people operations files and records.
  • Performs periodic audits of PO files and records to ensure that all required documents are collected and filed appropriately.
  • Assist and coordinate DOT driver program
  • Provides clerical support to the PO department.
  • May assist with payroll functions including processing, answering employee questions, fixing processing errors, and distributing checks.
  • Acts as a liaison between the organization and external benefits providers and vendors, which may include health, disability, and retirement plan providers.
  • Conducts or assists with new hire orientation.
  • Assists with planning and execution of special events such as benefits enrollment, organization-wide meetings, employee recognition events, holiday parties, and retirement celebrations.
  • Enters accounting data and adjustments into financial accounting software.
  • Coordinate the company credit card process including statement review, distribution and collection of information from end users for entry into the accounting software.
  • Light customer billing.
  • Assist with ad hoc projects and reports within accounting, recruitment, employee relations, and organizational planning.
  • Reviews data and information for accuracy and makes corrections when necessary.
  • Produces reports and statistical data as needed.
  • Performs administrative and secretarial duties as required.
  • Performs other duties as assigned.

 

REQUIRED SKILLS / ABILITIES:


  • Excellent verbal and written communication skills.
  • Excellent math skills.
  • Excellent interpersonal and customer service skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
  • Excellent organizational skills and attention to detail.
  • High level of deductive reasoning to progress from general ideas to specific conclusions.
  • Proficient with or the ability to quickly learn accounting, payroll management, human resource information system (HRIS), and similar computer applications.
  • Basic understanding of administrative and clerical procedures and systems.

 

EDUCATION AND EXPERIENCE:


  • High school diploma or equivalent required.
  • Associate or bachelor’s degree in related field preferred.
  • Prior related office experience preferred.
  • High skill level with Microsoft Word, Excel and other applications within the Office Suite or related software.

 

PHYSCIAL REQUIREMENTS:


  • Prolonged periods of sitting at a desk and working on a computer.
  • Prolonged periods of standing or walking.
  • Must be able to lift 25 pounds at times.
  • Position needs to occasionally move to access file cabinets, office machinery, etc.
  • Regularly access low and high spaces that may be at irregular angles such as in or under a vehicle.
